Variable Expenses These are expense which vary, but are considered controllable by you. For example, by conserving power, you have the ability to reduce your utility costs. The categories listed are examples of typical variable expenses. You can add as many categories as you wish in order to better reflect your business expenses. Salary expenses - Base pay plus overtime. Payroll expenses - Include paid vacations, sick leave, health insurance, unemployment insurance and social security taxes. Outside services - Include costs of subcontracts, overflow work and special or one-time services. Supplies - Services and items purchased for use in the business. Repairs and Maintenance - Regular maintenance and repair, including periodic large expenditures such as painting. Advertising – All advertising and promotional expenses. Automobile - Include charges if personal car is used in business, including parking, tools, buying trips, etc. Accounting and Legal - Outside professional services. Dues & Subscriptions – Trade Magazines, Business Memberships, Buying Memberships, Internet Service, etc. Utilities – Power, Water, Sewer, Telephone, Cell Phone. You may wish to create separate categories for each of these items for easier tracking. Travel – Lodging, Airfare, Meals, etc. All expenses related to travel for business. Misc. – Any other variable expenses that don't fit one of the listed categories. Fixed Expenses These are expenses that are fixed and must be paid as is without any control over the amount. Examples include Rent and Loan re-payments. Some Fixed Expenses could be characterized as Variable, such as Insurance, which can fluctuate depending upon several variables.
